Our client is looking for an experienced Export Administrator to join their team at a manufacturing facility based in Gauteng. This is a full-time, salaried position suited to a detail-oriented and disciplined professional with relevant qualifications and experience in shipping and logistics.

Purpose of the Role

To perform all export-related administration in accordance with service level agreements (SLAs) and applicable regulatory requirements across various market sectors and governing bodies.

Minimum Requirements

Educational Qualifications
  • Matric (Grade 12) Certificate
  • Post-matric qualification in a relevant field is preferred. A Diploma or Bachelor's Degree in Logistics, Warehouse Management, or a related field (NQF 7) will be advantageous.
Experience
  • Up to 5 years of experience in Shipping and Logistics within a manufacturing environment.
  • At least 3 years of direct experience in export-related activities.
  • Strong administrative skills and a proven record of reliability and discipline in previous roles.

Key Responsibilities

Shipping Operations & Administration
  • Coordinate with transporters and shipping providers to ensure timely and efficient shipping of products.
  • Plan and optimize container loads for cost and capacity efficiency.
  • Manage shipment bookings in line with customer requirements.
  • Prepare all export documentation and ensure compliance with Incoterms and destination country regulations.
  • Process and capture daily shipping data and assist with administrative duties as required.
  • Generate reports related to customer order status.
Compliance
  • Ensure all activities comply with company procedures and relevant legislation.
  • Identify and monitor potential risks and maintain a department risk register.
  • Support the update and maintenance of Standard Operating Procedures (SOPs).
  • Prevent wasteful and irregular expenditure through process discipline and control.
Customer Service Management
  • Foster strong working relationships with internal and external customers.
  • Resolve queries regarding deliveries, documentation, packaging, and shipping.
  • Represent the company in meetings with stakeholders and support relationship management efforts.
Cost & Financial Control
  • Support the preparation of departmental budgets.
  • Promote cost-effective use of resources.
  • Ensure overtime and expenditures remain within approved limits.
  • Approve purchases in line with delegated authority levels.

Essential Knowledge & Skills

  • Proficiency in Microsoft Office Suite
  • Experience with SAP, ERP, or other job-relevant systems
  • Understanding of logistics and production processes
  • Strong problem-solving, organizational, and analytical skills
  • Excellent written and verbal communication abilities
