Our client, a well-established company specialising in cold storage and refrigerated logistics, is seeking a System Operator to join their team.

Reports To:         Operations Manager / Warehouse Supervisor

JOB PURPOSE

To ensure the accurate and timely processing of warehouse transactions through the Warehouse Management System. The role maintains inventory and location integrity, supports customer order processing, coordinates operational information, provides accurate reporting and protects product traceability, food safety and cold-chain compliance.

KEY RESPONSIBILITIES

Warehouse Management System Administration

  • Capture and process inbound, transfer, replenishment, picking, dispatch and stock-adjustment transactions accurately.
  • Ensure authorized transactions are completed in the Igloo Warehouse Management System within required timelines.
  • Monitor transaction queues, interface messages and processing errors and resolve or escalate exceptions promptly.
  • Verify source documents and system information before final posting.
  • Maintain accurate master-data use and prevent unauthorized transaction changes.

Inventory Management and Reconciliation

  • Maintain inventory accuracy, location integrity, batch integrity and stock-status controls.
  • Investigate stock discrepancies and complete system-to-physical reconciliations with operational teams.
  • Support cycle counts, annual stock takes, pick-face counts and empty-bin investigations.
  • Monitor authorized stock adjustments and retain supporting documentation.
  • Escalate unexplained variances, negative stock, blocked locations or traceability risks.

Customer Order Processing and Reporting

  • Process customer sales orders, releases and related warehouse instructions accurately.
  • Generate customer inventory, movement, ageing, order and operational reports.
  • Monitor FEFO allocation and customer-specific batch or shelf-life requirements.
  • Communicate order constraints, shortages, delays and system exceptions promptly.
  • Maintain accurate and professional customer communication in line with assigned authority.

Operational Planning and Coordination

  • Update Monday.com schedules, workflow boards and operational trackers on time.
  • Support supervisors with work queues, stock availability, replenishment and dispatch priorities.
  • Coordinate with receiving, dispatch, transport, inventory, compliance and customer-service teams.
  • Provide clear shift-over information and retain required operational records.

Food Safety, Quality, Traceability and Safety

  • Maintain complete product traceability and cold-chain information in system records.
  • Comply with applicable HACCP, FSSC 22000, customer and company requirements.
  • Report food-safety, quality, security, safety or data-integrity risks immediately.
  • Protect confidential customer, inventory and operational information.

Continuous Improvement and Support

  • Identify recurring system errors, process gaps and control weaknesses and recommend improvements.
  • Assist with user support, training and procedure implementation within competence and authority.
  • Maintain orderly electronic and paper records for audit and operational use.

MINIMUM REQUIREMENTS

  • Grade 12 / National Senior Certificate is required.
  • A warehouse, logistics, supply-chain or related qualification is advantageous.
  • Two to three years of warehouse management system experience is preferred.
  • Cold-storage, FMCG, food-warehousing or logistics experience is advantageous.
  • Working knowledge of Igloo WMS, Monday.com, Microsoft Excel, Outlook and Word, barcode-scanner and label-printer experience is advantageous.
  • Able to work shifts, overtime and in chilled or frozen warehouse areas when operationally required.

KNOWLEDGE, SKILLS AND COMPETENCIES

  • Accurate WMS transaction processing and inventory control.
  • Must be proficient in English Speaking, reading and writing
  • Strong attention to detail and numerical accuracy.
  • Analytical thinking, reconciliation and problem solving.

  • Clear written and verbal communication.
  • Customer focus, teamwork and professional conduct.
  • Integrity, confidentiality and accountability.
  • Intermediate to advanced Microsoft Excel capability is advantageous.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Primarily office or control-room based with regular interaction in operational warehouse areas.
  • Periodic exposure to chilled and frozen environments.
  • Extended computer uses and concentration on detailed transactions and reports.
  • Shift work, weekends, public holidays and overtime may be required.
  • Mandatory use of prescribed PPE when entering warehouse or cold-room areas.

AUTHORITY AND ACCOUNTABILITY

  • Process authorized warehouse transactions and generated approved operational or customer reports.
  • Escalate inventory discrepancies, data-integrity concerns and processing exceptions.
  • Recommend stock adjustments or corrective transactions for approval but not authorize them beyond delegated authority.
  • Stop or hold a transaction where supporting information is incomplete, inconsistent or unauthorized.
  • Remain accountable for transaction accuracy, confidentiality, traceability and timely reporting.

Area:  Ekurhuleni (East Rand)

Salary:  R 18 000 CTC depending on experience and qualifications
