The HR Administrator provides operational and administrative support across the full HR spectrum for a multi-unit restaurant franchise group employing approximately 800+ staff across 25+ locations in the Cape town and Boland regions.

Working closely with the HRBP and Payroll team, this role ensures employee masterfiles, employee relations records, recruitment coordination, statutory submissions, and brand audit documentation remain compliant and audit-ready at all times.

 

Salary: R18 000.00 CTC (Include provident fund)

 

Minimum Requirements

  • Grade 12 / Matric; a completed tertiary qualification in Human Resources Management (or related field) is preferred.
  • 2–4 years of practical HR administration experience within a high-volume, multi-unit retail, hospitality, QSR, or FMCG environment.
  • Systems Experience: Intermediate to Advanced MS Excel skills.
  • Experience with biometric time-and-attendance/POS systems (e.g., GAAP, Kronos, or similar).
  • Familiarity with digital recruitment platforms and HR tracking tools.
  • Knowledge: Sound understanding of South African labour legislation (BCEA, LRA, EEA, COIDA).

Responsibilities
  • Maintain accurate, complete, and audit-ready employee masterfiles and contracts for 800+ staff across 25+ store locations.
  • Onboard new starters promptly, ensuring all required ID, banking, contract, and induction documents are collected and filed within agreed SLAs.
  • Maintain the central IR Tracker, logging all warnings, suspensions, disciplinary hearings, and CCMA cases.
  • Prepare standardized disciplinary packs, track case deadlines, and escalate complex IR matters to the HR Lead.
  • Coordinate recruitment activities, including interview scheduling, job portal management, background checks, and offer letter generation.
  • Maintain Portfolios of Evidence (POE) and compliance workbooks to ensure readiness for all internal and brand HR audits.
  • Pull weekly time-and-attendance data from biometric clocking systems (e.g., GAAP) and report BCEA deviations (e.g., 12-hour rest period breaches).
  • Consolidate, check, and submit monthly timesheets and payroll input data to the Payroll Manager.
  • Assist with annual statutory submissions and reporting, including WSP/ATR (Skills Development) and EE reports (EEA2/EEA4).
  • Process COIDA / W.Cl.2 injury-on-duty claims and track National Minimum Wage updates.
  • Maintain updated organizational charts, succession/bench plans, and training statistics.
  • Compile monthly HR operational reports and dashboard metrics for management review.
